Administrator Roles

  • Firm administrators: Manage all projects and users

  • Project executives: Usually the PM

  • Who should be an administrator: Team leads, project managers, IT staff

  • How to become an administrator: Contact your TonicDM system manager

Project Management

  • Creating projects:

    1. Manual creation through admin interface

    2. Integration with Deltek or other project management systems

  • Project settings:

    1. Project number and name

    2. Disclaimers

    3. Set CA Actions + Reason codes

  • Modifying projects:

    1. Navigate to project in web application

    2. Use the settings wheel icon

    3. Update project information as needed

User Management

  • Adding users: Automatic based on email domain

  • Setting permissions:

    1. Standard user (default)

    2. Project Exec (project-level view of confidential emails)

    3. Firm administrator (system-wide access)

  • Managing access to locked projects:

    1. Navigate to project settings

    2. Add or remove team members

    3. Set appropriate permission levels

Email Management Tools

  • Moving emails between projects: For correcting misfiled items

  • Hard delete capability: Permanently remove sensitive or incorrect content

  • Conversation management: Move or delete entire conversation threads

  • Restoring from trash: Recover accidentally deleted emails

Confidentiality Controls

  • Setting up automatic confidentiality rules:

    1. Navigate to organization settings

    2. Configure keyword triggers

    3. Set up user-based rules

  • Managing locked projects:

    1. Set project as locked during creation

    2. Convert existing projects to locked status

    3. Manage team member access lists
