Auto-Import of RFIs and Submittals

TonicDM can automatically import RFIs and Submittals if:

  • the email notification comes from Kahua, CMiC

  • the email notification goes to your Project Email Address

  • the notification sender's email address is a Contact. In some cases the email address is a system email address rather than a person, but it still needs to be a Contact.

If the above conditions are met, when the email notification arrives at your Project Email Address, TonicDM will:
process the notification and log in the RFI / Submittal into your project
send you an email advising you of this, and providing a link to the new RFI / Submittal in TonicDM.

Auto-logging of hand-created emails

If the person sending you RFI and submittals hand types the emails, you could ask them to structure the emails in a specific way, and that will allow TonicDM to automatically import those RFIs and submittals, saving you a lot of effort.

The subject of the message should start with the words "RFI" or "Submittal". 

The body of the message should include the following lines of text. Note: Spec Section is optional.

Number: <RFI or Submittal Number>
Title: <Subject or Title of the RFI or Submittal>
Spec Section: <Spec Section>
Return By (yyyy-mm-dd): <Date in the format  yyyy-mm-dd>
Message: <all text after this would be considered part of the message>

The attachments in the email will be logged as the attachments to the RFI or submittal.
